Unfortunately, directly replacing uploaded files within a WPForms entry from the admin dashboard isn’t something WPForms currently supports. Even on paid plans where entry editing is available, file upload fields can’t be swapped out through the entry editor the way text fields can. That’s a real limitation we hear about, and we’ll pass the feedback along to the team.

Here are the most practical paths forward depending on your situation:

Ask the user to resubmit. The cleanest option is to delete the incorrect entry and ask the affiliate to fill out the form again with the right file. You can set up a direct link back to the form to make it easy for them.

Replace the file manually. If you need to keep the existing entry intact, uploaded files are stored in your WordPress Media Library and physically in /wp-content/uploads/wpforms/. You can locate the specific file there via FTP or your host’s file manager and replace it with the correct one, keeping the same filename so the entry link still works.

Edit the entry’s file reference (advanced). On paid plans with entry editing enabled, you can technically edit the file URL stored in an entry — but this requires uploading the replacement image to the Media Library first and then updating the entry field with the new file path. It’s a bit manual but doable.

If you’d like step-by-step help with any of these, our support team can walk you through it at https://wpforms.com/support/ (available for paid users).
